Privacy Policy

HoldMic ("we", "our", "the app") is a macOS voice-to-text application. We take your privacy seriously. This policy explains what data we collect, how we use it, and your rights.

1. Data We Collect

Voice audio. When you hold the hotkey and speak, your audio is streamed in real time to our transcription server for speech recognition. Audio data is processed in memory and never stored or recorded. Once your transcription is complete, the audio is discarded.

Transcribed text. We log the input and output text of the AI polish step (before and after cleanup) to improve polish quality. These logs contain:

• Input and output text
• Whether text was modified
• Processing latency
• Polish style applied (e.g., casual, formal, technical)
• App identifier (which application you were typing in)
• Anonymous installation identifier
• Timestamp

These logs do not contain your name, email, IP address, or any personally identifiable information.

Installation identifier. The app generates a random, anonymous identifier (install_id) stored locally on your device. This is used solely to distinguish usage patterns across installations — it cannot be traced back to you.

Crash and diagnostic data. We do not collect crash reports or system diagnostics automatically. macOS may collect its own diagnostics per your system preferences.

2. Data We Do Not Collect

• Personal information (name, email, phone number)
• Location data
• Browsing history or app usage beyond the active text field identifier
• Contents of your screen or clipboard (except temporarily during text insertion)
• Keystroke data

3. How We Use Your Data

Transcribed text logs are used exclusively to:

• Monitor and improve AI polish quality
• Debug service issues
• Understand usage patterns to prioritize features

We do not sell, share, or transfer your data to third parties for advertising, marketing, or any other purpose.

4. Third-Party Services

Your audio is processed using a cloud-based speech recognition service. The transcribed text may be processed by a large language model (LLM) API for polish. These services process your data in real time and do not retain it beyond the API call. We select providers with strong data handling commitments.

5. Data Security

All communication between the app and our server is encrypted using TLS (HTTPS/WSS). Our server is hosted in a secure data center in Singapore.

6. Data Retention

Polish quality logs are retained for up to 90 days, after which they are deleted. Audio data is never retained.

7. macOS Permissions

HoldMic requires two macOS permissions to function:

• Microphone access — to capture your voice while the hotkey is held
• Accessibility access — to insert text at your cursor position in any application

These permissions are used strictly for the app's core functionality. You can revoke them at any time in System Settings → Privacy & Security.

8. Children's Privacy

HoldMic is not directed at children under 13. We do not knowingly collect data from children.

9. Changes to This Policy

We may update this policy from time to time. Changes will be posted on this page with an updated date. Continued use of the app constitutes acceptance of the revised policy.
